Unmasked Mental Health has a fantastic opportunity for an experienced Reception & Office Administrator to join our team on a full time basis.
The ideal candidate will play a pivotal role in ensuring the smooth operation of our office by managing administrative tasks, supporting staff, and maintaining efficient office systems. This position requires a proactive individual who can handle various responsibilities while providing excellent service to both internal and external stakeholders.
Key responsibilities includes:
Reception:
- Managing the reception, directing visitors to the right place and advising Counsellors when clients have arrived.
- Registering all visitors upon arrival.
- Answering incoming calls to the organisation, assisting with queries or directing the enquiry to the right person.
- Allocating safety alarms to all volunteers through our system and disabling them when they have left the building.
- Ensuring that the reception, meeting rooms and office environment is tidy, presenting a professional image for all volunteers and visitors.
- Proactively ensuring that the poster boards are updated.
- Ensuring the meeting room is prepared prior to all hubs, activity groups and meetings.
Administration:
- Managing all emails coming into the organisation’s general shared mailbox and dealing with them wherever possible or forwarding them to the relevant person.
- Contacting clients and other third parties setting up meetings and booking appointments
- Assisting the Team with filing, photocopying and other general administration
- Undertaking DBS checks for volunteer counsellors, volunteers and facilitators
- Collating statistics for reporting purposes
- Collating all documents and materials used for training
- Collating information from the Hub Facilitators and ensuring the information is input into the system
- Ordering stationery and supplies for the office, training and events
- Supports in the planning of any external fundraising events
- Working in collaboration with the Service Support Manager to ensure Health & Safety requirements are satisfied
Experience/Knowledge/Qualifications Required:
- Previous experience in an busy administrative role is essential. Minimum 3 years.
- Ability to use Office 365 packages including Word, Excel, Outlook, Powerpoint.
- Strong organisational skills with the ability to manage multiple tasks simultaneously.
- Excellent phone etiquette and interpersonal skills for effective communication with clients and colleagues.
- Detail-oriented approach to administrative tasks, ensuring accuracy in data entry and record management.
- Ability to work independently as well as part of a team in a fast-paced environment.
The successful individual will report to our Service Support Manager.
This role is a full-time (37.5 hours per week) office based role located in central Halifax. Hours are 8.30am-5pm with one hour lunch.
Salary is £24,275.00 per annum.
